Who we are
Hotelyx publishes hotel management software used by hotels. For a hotel's guest data, the hotel is the data controller and Hotelyx acts on its behalf. For the platform guest account (guest space), Hotelyx is the data controller. This policy applies under Ivorian law no. 2013-450 on the protection of personal data.
Data we process
- Hotel guests: name, phone, email, bookings, stays, purchases, payments and receipts; police registration details required by law (including the ID document number, encrypted in the database).
- Guest space: phone number confirmed by code, name, email, language; with “Continue with Google”: the account's email address, name and Google identifier (never the Google password).
- Hotel teams: name, email or phone, role, logs of sensitive operations (cash desk security).
- Devices: app notification identifier (Firebase) used to alert the team.
Why
To manage bookings and stays, take payments, keep the hotel's accounts and mandatory registers, send confirmations and sign-in codes, and let guests find their stays, receipts and conversations with the hotel. Marketing offers are only sent with the guest's consent, who can reply STOP at any time.
Recipients and processors
A hotel's data is only visible to that hotel: separation between hotels is enforced by the database itself. Technical providers: server hosting (Hostinger), text and WhatsApp messages (operators), online payment (CinetPay, on the hotel's account: Hotelyx never sees card or mobile money details), notifications (Google Firebase), Google sign-in (Google), management assistant (Anthropic). No data is sold.
Retention and security
Data is kept for the duration of the relationship with the hotel and of legal obligations (registers, accounting). Encrypted connections (HTTPS), passwords and codes never stored in clear, encrypted ID numbers, verified daily backups.
Your rights
You may request access to, correction or deletion of your data. From the guest space you can edit your details and delete your account; stays remain in the hotel's registers, as required by law. For data held by a hotel, contact that hotel.
